Five SharePoint Benefits for Businesses |
It's highly likely that the most popular software program is
Microsoft Office. With numerous variations to the Office platform, including Office 365 - the largely cloud based version of Office - it's easy to see why. A common complaint of Office users is that it can be tough to share documents and collaborate with other employees. Microsoft has a solution: SharePoint.
SharePoint is a great way for companies to enhance Microsoft Office 365's capabilities. It has many benefits that small to medium business owners can take advantage of. Here's five of the best.
1. Office Web Apps SharePoint can be linked with Office Web Apps (the browser based version of Office), which will give your employees access to their documents anywhere they have access to a Web browser with an Internet connection.
2. Easier sharing of documents When working with different Office programs, some files can become so large that they can't be shared over email. SharePoint provides users with a central and secure location they can save their documents to.
3. A collaborative environment When you have multiple employees working on the same document, keeping updated can be tough as each user will likely have different versions saved on their computer. With SharePoint's central file system, users view the same document. If changes are made by one person they will immediately show on the document.

Is your data protected? Are you meeting HIPAA compliance? |
The HIPAA Omnibus Final Rule released on January 17, 2013, in a 562-page document, makes sweeping changes to the HIPAA Privacy Rule (2003) and the Security Rule (2005).
HIPAA Data Breach
The "harm" standard was removed. Lost devices that are not recovered are presumed to have had the data breached. Encrypted devices are exempt from data breach reporting.
Penalties may consider the nature and extent of the violation, the number of those impacted, the harm done, the history of prior compliance, the financial condition of the Covered Entity or Business Associate, and "other matters".
Are your employee laptops encrypted? This is a simple action that will save you significant fines and protect your valuable data. This is a great practice for everyone even if HIPAA doesn't apply to you.
Business Associates (BA's)
BA's must implement HIPAA compliance by September 23, 2013. BA's are responsible for the compliance of any subcontractors they work with, which might contact PHI. Any organization that "maintains" PHI even if they don't look at it, is now a BA. Examples include paper records storage companies, data centers, online backup companies and cloud service providers. Current BAA's must be replaced by September 22, 2014. Covered Entities are still responsible for data breaches caused by their BA's. Do you have a BA signed with your provider?

A: The biggest impact of a hosted infrastructure is to provide our clients with the peace of mind and financial comfort without any surprises. Another key advantage is business continuity that cloud based hosting provides.
Q: What's your favorite new cloud based software tool that clients are implementing to enhance their business productivity?
A: There are many but my current favorite tool is RemoteApps provided by Microsoft. With Remote Apps you can open only the desired application on your computer instead of using remote desktop for your hosted applications which provides users with easier navigation between the company's hosted applications and applications that require use of the local computer.

We attended a technology event covering various topics from security, cloud solutions, software applications to HIPAA compliance. One of the guest speakers was former Chicago Bears coach, Mike Ditka. He talked about the importance of having a great team to make you successful. When someone asked how do you motivate your team he responded "you don't, your team has to already come motivated". That really struck with me because while we can provide our employees with recourses, education, a great environment but ultimately the right team players will show up motivated with the FRED factor...another great book to check out.
